The Office Manager will provide support for office management, events, recruitment, on-boarding, off-boarding, payroll, training, employee relations, and other related projects and tasks. A great candidate for this Massage & Rehab is an energetic professional who doesn’t mind wearing multiple hats. Highly experienced in customer service, handling a wide range of administrative and executive support related tasks, and able to work independently with little or no supervision.
Front Desk Admin Duties:
● Greeting patients, answering incoming phone calls, and delivering world-class service to our customers
● Schedule appointments, check patients in/out, issue invoices and receipts
● Folding and washing linens, towels, and shorts
● Ensuring the overall cleanliness of the clinic Management Duties:
● Perform general bookkeeping, payroll invoices, cash deposits and payment of vendors
● Manage staffing contracts, extensions, expense reimbursements, and payroll deduction forms
● Organizing and managing staff events, workshops, and outreaches
● Ensuring that all practitioner and customer complaints and issues are addressed promptly and effectively
● Keeping track of inventory and sufficient linen supplies for operation
● Hiring, supervising, mentoring, training, and coaching clinic administrator and delegating assignments to ensure maximum productivity
● Recruiting for practitioners, screening, and performing onboarding and offboarding duties
● Overseeing the general operations of the clinic to always ensure a positive environment.
Additional Duties and Responsibilities:
● Creating and posting social media content and engaging with followers
● Create and send out monthly customer newsletters
● Contribute to and maintain clinic monthly promotional schedule
Required Knowledge, Skills and Abilities:
● Must have exceptional people skills, ability to work with patients,
practitioners and office staff.
● Must provide excellent customer service and interact with people from all walks of life.
● Must be detail oriented and able to multitask
● Must have excellent communications skills, both verbal and written
● Must have experience with computer systems, spreadsheets, and word processing
● Must be able to take initiative and become a leader in the office
● Must have some research skills and be able to present findings to management team
● Strong organizational and planning skills
● Excellent time management skills and ability to multi-task and prioritize work
Education and Experience:
● A Bachelor’s degree or equivalent
● 2-3 years of clinic administration experience
● Office management experience
● Social media and marketing knowledge (preferred)

Receptionist
$16 – $18/hr – Part Time – Permanent

One of our clients is looking for young, fun, energetic, looking for a caring and outgoing individual who can multi-task and be the friendly face to greet our patients. This is a part time, permanent position.
Front Desk Duties:
● Greeting patients, answering phone calls, email, messages
● Booking appointments, check patients in/out, issue invoices and receipts
● Laundry – receiving/counting, washing, drying, folding, and stocking
● Calling back patients for retention
● Maintaining general cleanliness of the clinic
● Troubleshooting / reporting concerns and issues related to the clinic
● Stocking supplies and linens
● COVID Prescreening, and regular sanitization of common surfaces within the clinic
● Maintaining the growth of our clinic plants
Required Knowledge, Skills and Abilities:
● Must have flexible hours and schedule (weekends, mornings and evening availabilities)
● 1-2 years working in an administrative/receptionist role.
● Have a dynamic and friendly personality with excellent communication skills and a strong sense of professional responsibility.
● Ability to work well in a team environment.
● Experience with using health electronic management records and insurance companies is an asset but not required.
● Experience with computer systems, spreadsheets, and word processing
● Fluent in the English language (verbal and written).
● Strong organizational skills and attention to detail is critical.
● Time management skills and ability to multitask and prioritize work.
● Punctual and responsible.
● Problem solver and a fast learner.
● Self-starter and motivated.
Education and Experience:
